This is a remote position.
Schedule :
- Mondays to Fridays, f lexible, 40 hours / week with requirement for at least 2-4 hours overlap beginning 7 : 00 am EST (GMT -4)
Scope :

Manage day-to-day administrative tasks and follow-up activitiesOrganize and prioritize tasks using project management tools like NotionHandle lead management and follow-up in CRM systems (Salesforce, potentially GoHighLevel)Coordinate project management for house renovation projectsCommunicate with Spanish-speaking contractors regarding project details and timelinesResearch and identify potential new contractors for renovation workCreate and maintain standard operating procedures and templatesUtilize AI tools to automate repetitive tasks and improve efficiencyManage Google Workspace files and spreadsheets for lead trackingProvide general executive support to help maintain focus on high-priority activitiesAssist in documenting and implementing Standard Operating Procedures (SOPs)Organize business-related information in NotionEnsuring tasks are being completed for lead management + current projects (purchase of a house, house rehab projects, etc), utilizing a software platform like Notion, Monday.com , etc)Inputting recent business purchases into Quickbooks + assisting in communication with my accounting teamRequirements
5+ years of experience in administrative or executive assistant rolesPrevious experience in real estate industry strongly preferredFluency in Spanish and English for contractor and client communicationProficiency with CRM systems, particularly SalesforceExperience with project management tools like NotionKnowledge of Google Workspace (Sheets, Drive, etc.)Familiarity with AI tools and automation for task optimizationStrong organizational and prioritization skillsAbility to work independently and make decisionsExperience with GoHighLevel CRM is a plusExperience in utilizing AI platforms (OpenAI, Claude, etc) to automate tasks and analyze data (without overly relying on AI platform for communication)Manage Google Workspace files and spreadsheets for lead trackingExperience in accounting software like QuickBooksExperience in Square space or other website management platforms is a plusExperience in task automation via Zapier is a plusBenefits

Requirements
