At HireHawk, we connect top global talent with growing U.S. businesses. We're seeking an Operations Virtual Assistant to support a California-based landscaping company by managing daily administrative operations, client communication, and system upkeep across CRM, scheduling, and payroll tools.
As the operational backbone of the business, you’ll keep schedules accurate, records organized, and customer communications running smoothly. You’ll work directly with ownership to ensure each day starts with clarity and ends with results.
Key outcomes :
- Maintain and update daily crew schedules and job records in Google Sheets and LMN.
- Process time logs and prepare accurate payroll data for ADP submission.
- Manage customer emails and calendar appointments, ensuring 24-hour response turnaround.
- Support CRM data entry and tracking in HubSpot for ongoing customer engagement.
- Anticipate needs, provide proactive updates, and ensure no administrative detail is missed.
- 2+ years in administrative operations; experience with CRM tools (HubSpot preferred); advanced English proficiency; available 9 AM–5 PM PST.
