You'll be our first operational hire, responsible for building and managing all business systems, automation, and back-office operations from the ground up. What You'll Build & Manage
CRM & Client Systems (Primary Focus)
Build and scale our Go High Level CRM from the ground upDesign automated workflows for client onboarding, communication, and service deliveryCreate dashboards and reporting systems for client relationship trackingImplement systems that allow our principals to focus on revenue generationBusiness Automation & AI Integration
Identify opportunities to automate repetitive tasks across all business functionsLeverage AI tools (ChatGPT, Claude, automation platforms) to increase efficiencyBuild templates, workflows, and processes that scale as we growStay current on emerging tools and technologies that can benefit the firmBack-Office Operations
Manage all administrative functions including scheduling, correspondence, and documentationCoordinate with external service providers (CPAs, attorneys, compliance partners)Handle client communications with professionalism and attention to detailMaintain organized digital filing systems and document managementClient Experience & Communication
Participate in client-facing Zoom calls with poise and professionalismSupport client onboarding and ongoing relationship managementEnsure every client interaction reflects Hampton Hillcrest's premium positioningAct as the operational liaison between clients and our principalsRequirements :
1-2 years of professional experience in operations, administration, or business systemsMust - Go High Level CRM expertise - Hubspot (or demonstrated ability to master it quickly)Proven automation skills using tools like Zapier, Make, or similar platformsAI-fluent – comfortable using ChatGPT, Claude, and other AI tools dailyExceptional communication skills – both written and verbalTech-savvy with ability to learn new platforms quicklyDetail-oriented with strong organizational skillsWorking hours - 9 am - 5 pm CST.About the company :
