Role Description :
The Sales & Logistics Coordinator serves as a central link between the sales, operations, and logistics functions, ensuring smooth execution of commercial processes from customer inquiry to final delivery. This role is responsible for managing contracts, coordinating shipments, overseeing documentation, monitoring financial terms, and providing accurate reporting to support decision-making. The position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, international trading environment.

Responsibilities
Customer & Contract Management
- Act as the point of contact for commercial back-office operations, tracking customer requests from inquiry to delivery.
- Follow up on customer contracts, ensuring accuracy and timely execution.
- Create and manage customer requirements in internal platforms, including the full cycle of the operative process and related documentation.
- Support the sales team in prospective efforts and provide relevant market data.
Logistics & Shipment Coordination
Generate daily reports on business status, contracts, BLs, and payments.Track metrics such as trucks sold per salesperson, total tonnage, average prices (EXW, transport, DDP), and top clients.Coordinate shipment schedules, pickups, deliveries, and inspections with customers, payments, ports, transporters, and warehouses.Communicate proactively with clients regarding material readiness, inspections, and logistics status.Track incoming and outgoing cargo, monitoring expected arrival dates and pending dispatches.Documentation & Compliance
Generate, manage and follow up commercial and logistics documentation, including order confirmations, invoices, contracts, port dispatch forms, and customs paperwork.Support customs clearance processes and ensure timely document submissions to prevent delays.Monitor inventory flow and update databases for global suppliers, logistics operators, and warehouse activity.Collect and validate logistics-related charges and manage credit notes from logistics providers.Financial & Credit Control
Ensure payment terms granted to clients comply with internal credit policies.Follow up on overdue invoices and coordinate with finance to resolve pending payments.Reporting & Operational Support
Prepare and maintain accurate sales and logistics reports and record detailed meeting minutes during sales meetings to ensure clear documentation and follow-up on action items.Develop and maintain weekly commercial reports, including inventory status, logistics movements, pending invoices, contracts and supplier payments.Assist the Operations Manager in supply chain optimization and ensure compliance with international trade regulations.Prepare and present the monthly report on operational performance, including key metrics, activities, and improvement opportunities.Qualifications
2+ years of experience in logistics, commercial support, or international operations.Strong knowledge of import / export processes, logistics coordination, and supply chain management.Experience with CRM systems, ERPs, and digital platforms for order tracking.Excellent organizational and follow-up skills with high attention to detail.Effective communication skills in Spanish and English (verbal and written).Ability to work independently and cross-functionally with sales, finance, and logistics.Knowledge of Latin American trade regulations and supplier management is a plus.What we offer
