ABOUT THE ROLE :
We're looking for a highly organized and enthusiastic People Coordinator to join our team and play a central role in managing our HR administration, recruiting support, and employee engagement initiatives across the U.S., Canada, and Colombia. You'll be the reliable first point of contact for employees and a core partner in maintaining our vibrant, growth-focused culture. You thrive on precision and play a crucial role in ensuring every employee experience is seamless from start to finish. In this role, you will be the backbone of our People & Culture team, supporting everything from data management to event planning. Your dedication to accuracy will be key to managing confidential information and ensuring all our HR processes run smoothly.
HR Administration & Compliance
Manage HRIS data entry and ensure data integrity across all platforms.
Prepare and process complex, international payroll tasks, including semi-monthly payroll preparation for US and Canadian teams, and semi-monthly RRSP / RESP and monthly WSIB reporting for Canadian employees.
Serve as the key administrative contact for Colombian employees , coordinating closely with our Employer of Record ( EOR ) vendor.
Conduct time-off audits and support annual compliance testing, including assisting with the 401(k) audit .
Process and track HR and vendor invoices, sending them to the Accounting team for payment.
Manage and track compliance for the Career Development Program, Annual Goal Setting, and annual U.S. anti-harassment training.
Recruiting & Employee Life Cycle
Create engaging job posts , interview candidates, create interview guides, execute reference checks, and maintaining the Job Description library.
Own the Onboarding and Offboarding experience , creating employee files, drafting termination agreements, calculating severance, updating relevant trackers, and managing system access removals.
Create and maintain new hire onboarding schedules, presentation slides, and ensure managers establish and track 30-60-90 day goals .
Conduct exit interviews to gather valuable employee feedback.
Employee Engagement & Wellness
Be the primary owner and monitor of the HR email inbox , ensuring all inquiries are addressed or escalated promptly and professionally.
Handle all employee information and records with the utmost discretion and confidentiality .
Drive internal community engagement by creating engaging written and image-led content across various platforms.
Lead content creation for the monthly PeopleIQ email newsletter and organize PIVOT, DEIB, and well-being posts in our internal Community channel.
Own the Wellbeing Program by creating the annual calendar, assembling benefits communications, and updating the portal content.
Assist with administering employee recognition programs (e.g., Presidents Club, Service Anniversaries) and planning special events (e.g., benefits enrollment, holiday parties).
Coordinate monthly coffee chat matches to promote internal connections.
2 - 3 years in an HR administrative or coordinator role with Canadian or US experience.
Exceptional organizational skills and meticulous attention to detail, especially with HRIS data and payroll documentation.
Strong ability to manage multiple priorities and meet strict deadlines daily.
Excellent written and verbal communication skills, with a talent for creating engaging and professional internal communications.
Experience with or ability to quickly master HRIS / Payroll systems , DocuSign and an ATS platform
Familiarity with or willingness to learn US and Canadian payroll / benefit compliance (RRSP / WSIB) and EOR administration.
Some experience recruiting and interviewing candidates.
A high degree of integrity and ability to handle sensitive information with confidentiality and tact .
