Overview
We’re looking for a highly organized, proactive, and detail-oriented Executive Assistant to the CEO who thrives in a fast-paced, entrepreneurial environment. If you excel at bringing structure to chaos, can anticipate needs before they’re voiced, and love taking ownership of projects from idea to execution, you’ll love this role. You’ll be the CEO’s operational right hand — ensuring communication flows efficiently, projects move forward, and the business runs smoothly day-to-day. This is not a passive, task-based position. You’ll need to think critically, take initiative, and confidently handle projects, communication, and recruiting processes with minimal supervision.
Responsibilities
- 30% Communication & Inbox Management : Manage and organize the CEO’s inbox, prioritizing messages, drafting responses, and forwarding to team members as needed. Maintain the CEO’s calendar and ensure meetings, calls, and materials are organized and prepared in advance. Act as a communication bridge between the CEO, clients, and internal teams.
- 40% Project Execution & Accountability : Translate the CEO’s ideas and notes into structured ClickUp tasks and follow through until completion. Assign ownership to team members, track progress, and ensure accountability. Maintain project dashboards and follow up on outstanding items daily.
- 20% Recruiting & HR Coordination : Post job listings, screen applicants, and schedule interviews. Coordinate onboarding for new hires and maintain organized HR documentation. Keep hiring pipelines updated and moving efficiently.
- 5% EOS Dashboard & KPI Management : Own and update the CEO’s EOS scorecard metrics and KPIs weekly. Track team performance against rocks, goals, and key company initiatives. Ensure alignment with company scorecards and Level 10 meetings.
- 5% Process & System Management : Keep SOPs updated and organized within ClickUp or shared drives. Identify inefficiencies and propose streamlined systems. Manage company tools, software renewals, and access permissions.
Role Requirements
Minimum 5 years of experience as an Executive Assistant supporting a founder or C-level executive.Proven ability to manage complex inboxes, calendars, and correspondence independently.Exceptional communication skills in both written and spoken English.Highly organized and capable of managing multiple priorities simultaneously.Advanced proficiency with Microsoft 365 (Outlook, Excel, Word, PowerPoint).Experience using ClickUp, Slack, Zoom, and other collaboration tools.Ability to take initiative, problem-solve, and follow through without needing to be told twice.Experience working in a digital marketing agency or DTC e-commerce brand is highly preferred.Nice to Haves
Familiarity with the EOS (Entrepreneurial Operating System) framework.Bachelor’s degree in Business, Communications, Marketing, or a related field.HR or project management certifications (e.g., PHR, PMP, CAP).Strong understanding of online marketing, e-commerce, or agency operations.Availability & How to Apply
