What we are looking for : an Executive Assistant (EA) to support the Chief People Officer (CPO). This role is remote-first until our local office is established, at which point it will transition to office-based. The ideal candidate will provide high-level administrative and organizational support, enabling the CPO to focus on strategic priorities. You will bring exceptional judgment, discretion, and the ability to manage competing priorities in a fast-paced environment, acting as the CPO\'s primary point of coordination to drive smooth operations, effective stakeholder management, and timely execution of key initiatives.
What you will do
Executive & Administrative Support
- Manage and optimize the CPO\'s calendar, ensuring alignment with strategic priorities and efficient use of time.
- Coordinate complex domestic and international travel, including itineraries, visa accommodations, and expense reconciliation.
- Serve as the primary liaison between the CPO and internal / external stakeholders, ensuring timely and effective communication.
- Draft, edit, and manage correspondence, reports, presentations, and briefing materials on behalf of the CPO.
- Handle sensitive and confidential information with discretion, maintaining a high level of professionalism.
- Anticipate the CPO\'s needs and proactively resolve scheduling conflicts or operational challenges.
Meeting & Event Coordination
Prepare agendas, briefing materials, and presentations for executive and leadership meetings.Record and track action items, ensuring timely follow-up and accountability across teams.Support organization of People & Culture–related events (e.g., leadership offsites, employee engagement activities).Partner with the travel / events coordinator for seamless execution of leadership and team gatherings.Operational & Project Management
Assist in driving execution of the CPO’s strategic initiatives, working closely with the People Operations Project Manager, ensuring milestones and deliverables are met.Coordinate cross-functional projects involving People Operations and other business units.Oversee administrative tasks related to the company\'s corporate entity in Colombia.Manage expense reports, invoices, and budget tracking for the CPO.Identify process improvements and implement best practices to streamline workflows.Additional EA Responsibilities
Maintain an organized system for the CPO\'s files, records, and key documents.Support onboarding and integration of new team members reporting to the CPO.Assist with HR and People Operations communications, drafting announcements and memos as needed.Monitor industry news, HR best practices, and external events relevant to the CPO\'s work.What you bring to the table
Bachelor\u2019s degree in Business Administration, Human Resources, or related field preferred.Minimum 5+ years of executive assistant experience, ideally supporting C-suite leaders in People Operations, HR, or related functions.Experience in insurance, financial services, or professional services is a plus.Proven ability to manage multiple projects simultaneously and work under tight deadlines.High emotional intelligence with the ability to remain calm under pressure and handle sensitive issues with tact.Strong proficiency in Microsoft Office Suite (Excel, PowerPoint, Outlook); experience with HRIS and project management tools (e.g., Monday.com) preferred.Excellent written and verbal communication skills with keen attention to detail.Demonstrated ability to exercise discretion, maintain confidentiality, and build trust.Why you\'ll love working with us
